Job description

The Administrative Assistant / Receptionist is responsible for ensuring efficient day-to-day operation of the office and support the work of management and other staff. This position will work out of our Windsor Centre (The Children’s House Montessori) located at 2611 Labelle Street, Windsor, ON.

  • Answer general phone inquiries using a professional and courteous manner and direct calls to appropriate staff
  • Reply to general information requests with the accurate information
  • Greet clients/suppliers/visitors to the organization in a professional and friendly manner
  • Use computer word processing, spreadsheet, and database software to prepare reports, memos, and documents
  • Sort incoming mail, faxes, and courier deliveries for distribution
  • Prepare and send outgoing faxes, mail, and courier parcels
  • Forward incoming general e-mails to the appropriate staff member
  • Forward voice mail from the general mailbox to the appropriate staff member
  • Purchase, receive and store the office supplies ensuring that basic supplies are always available
  • Provide administrative support to management and other staff
  • Assist with laminating/cutting out posters
  • Collecting parent information forms
  • Update information in Day Care Works
  • Assists in accepting enrolments and inquiries
  • Maintains the current wait list, and communicating with families on new enrolments
  • Assists in the maintenance of documentation for Accreditation
  • Assists in maintain all child files
  • Maintain Marketing materials for tours and special events – This includes being available to support open houses

The ideal candidate would have:

  • High School Diploma
  • Post-secondary education in business, computers, or office management is an asset
  • Intermediate level in Microsoft Office specifically Excel, Outlook and Word.
  • Child care experience, ECA, RECE or Montessori is an asset
  • Can work under time limits and fast pace environment when needed to meet deadlines
  • Excellent customer service working with diverse clients and coworkers while maintaining confidentiality for family and staff records
  • OCCMS knowledge for Subsidy
